Privacy and Data Processing Policy
YourStaffGY — a recruitment service operated by Talent Force Solutions, Guyana
This policy explains what personal information YourStaffGY collects, what we do with it, who receives it, how long we keep it and what you can ask us to do about it. It is the separate Privacy Policy referred to in section 13 of our Terms & Conditions, and it should be read together with them.
Effective date:to be confirmed

1. Who processes your data
YourStaffGY is a recruitment and workforce placement service operated by Talent Force Solutions in Guyana. Talent Force Solutions is the party responsible for the personal information described in this policy, and is the party you contact to exercise the rights in section 13.
We process personal information subject to the law of the Co-operative Republic of Guyana, including the Data Protection Act 2023.
This policy covers the YourStaffGY website and the recruitment, unlock, verification, placement, promotional, immigration and support services provided through it. It applies to candidates, employers and the people acting for them, to people whose details someone else entered (see section 7), and to visitors who never create an account.
Where an employer receives your information from us, that employer becomes responsible for what it then does with it. Where you send information to a government authority through us, that authority is responsible for its own use of it.
2. Plain-language summary
The five things people do not expect
This summary is not a substitute for the sections below, but nothing in those sections contradicts it.
- 1Your CV is read by an automated service run by another company. Not a summary of it — the whole text, and images of the pages if it is a scan. See section 6.
- 2Your profile is published, and ordered in the directory, by software. No person approves it beforehand. You can ask a person to review it. See section 6.
- 3Your contact details are not public, and are revealed to an employer that pays for them. We notify you when that happens, without naming the employer. See section 8.
- 4Our support staff can sign in as you. It requires a ticket and a stated reason, and every request is logged. See section 11.
- 5Today, nothing is deleted automatically. We are stating this plainly rather than publishing retention periods we do not yet enforce. See section 12.
3. What information we collect
The detail of each category, what it is used for and on what legal basis is in section 5. This section explains how information reaches us, because that is what determines whether you knew about it.
What you give us
What you type into the forms and what you upload: account details, your professional profile, your contact details and date of birth, your CV, diplomas, certificates and identification documents, your company's registration documents, your payment receipts, your work permit application, and whatever you write to support.
Free-text fields are worth a warning: what you write into a CV, a support message or an explanation box is stored as you wrote it. If you put an identity number, a health detail or another person's name there, we hold that too. Please do not include more than the question asks for.
What other people give us about you
An employer can register an immigration agent, a representative or a sponsor, including their identity document numbers. A work permit applicant enters their accompanying family members, including passport numbers and dates of birth. Referees, former employers and educational institutions give us answers about you during a verification. Our staff write internal notes and case records about you. An employer can leave a rating about you. Section 7 is about the people in this paragraph who never registered with us.
What is generated without you typing it
- Information extracted from your CV by automated processing, and the language it appears to be written in, which is inferred and not asked (section 6).
- Three generations of your profile text: what you wrote, what the automated processing rewrote, and what is actually published. We keep all three.
- Activity signals: when you were last seen active, your progress through signup, how many times your profile has been shown, and a score derived from those that affects your position in the directory.
- An audit record of changes made to your data through audited paths, which includes a copy of the values before and after each change.
- Request data inherent to serving a website — including your IP address and browser — handled by our hosting provider, and the technical records of any session in which our staff accessed your account.
If you never create an account
You can browse the directory and the job board without an account. If you open the support chat as a visitor, we store your messages against a random key kept in your browser, not against a name. Section 10 covers cookies and browser storage.
4. Sensitive data: health and criminal record
Only in the work permit and verification services
Two of our services collect information that is more sensitive than the rest of this policy, and you should know exactly which.
The work permit questionnaire
It reproduces the questions of the official Guyanese form. Among them, it asks whether you have ever been diagnosed with a serious medical illness — which is health data — and whether you have ever been arrested or convicted of an offence, involved in narcotic activities, or sought entry for an unlawful purpose — which is criminal offence data. It also asks about visa refusals, irregular presence and deportations. Each of these has a free-text box, and what you write in it is stored.
The verification service
When an employer purchases a verification of you, the check may include a criminal record outcome, alongside identity, education and employment outcomes and our staff's written notes. This is criminal offence data about you, held for the employer that purchased the service.
We do not use any of this to order the directory, to price anything, or for any purpose other than the specific service you or an employer asked for.
These two services are optional. The work permit questionnaire is only reached by someone who has accepted a job offer and is applying for a permit; the verification is only run when an employer purchases it and you have consented to it. You are not asked any of it to register or to appear in the directory.
We are still completing the specific legal determination that governs how long this category may be kept and under which provision of the Data Protection Act 2023 it is held. Until that is settled and published here, we collect it only where the service requires it, we restrict it to the staff working on your case, and we do not use it for anything else.
5. Processing: purposes and legal basis
Each row is a category of information, what we do with it, and the legal basis we rely on. Where the basis is your consent, you can withdraw it (section 13) — that stops the processing going forward, and does not make what was lawfully done before it unlawful. Where the basis is our legitimate interest, you can object and we will weigh it against your reasons.

6. Artificial intelligence and automated decisions
Read this before uploading a CV
Your CV leaves our systems
When you upload a CV, its entire text is sent to an automated inference service operated by Cloudflare, a third-party provider, so that it can be converted into the structured fields of your profile.
It is not a summary or a selection of fields: it is the whole document, including anything you happened to put in it. If your file is a scan with no text layer, images of its pages are also sent, so that the text can be read from them.
The same service is used to clean up and translate the free text of your profile, and to translate job vacancies. The full plain text of your CV is also stored in our database.
Uploading a CV is optional. You can fill in your profile by hand and never upload one. If you do upload one, do not include information the profile does not ask for.
Nothing extracted is applied without you confirming it
What the extraction proposes is shown to you for review. Only the items you accept or edit are written to your profile. An item whose supporting quotation cannot be found verbatim in your CV is discarded automatically before you ever see it.
Two decisions are made by software, not by a person
- Publication. Your profile becomes visible in the directory when the automated processing of your text completes successfully. No person reviews it beforehand; our staff moderate afterwards, and can block a photograph or remove a profile.
- Ordering. The order in which candidates appear in the directory is set by a score computed from activity signals — including how many times your profile has already been shown — so that exposure is spread rather than concentrated on the same few profiles. The raw signals are never shown to employers.
Neither decides whether you get hired, and neither uses the sensitive data of section 4. You can ask a person to review either of them, and to correct or republish your profile, through support.
The decision to hire you is always the employer's, and the decision to grant a work permit is always the authority's. Our automated processing plays no part in either.
What we infer
The language your CV appears to be written in is inferred from the document, not asked. Inferred information about you is still information about you, and the rights in section 13 apply to it.
7. Data about people who did not register
Some of the information we hold is about people who never created an account and never accepted anything, because somebody else entered it. This section is for them.
- Immigration agents, representatives and sponsors, entered by an employer to register its sponsorship chain: business and contact details, and identity document numbers.
- Accompanying family members, entered by a work permit applicant: name, relationship, nationality, date of birth and passport number. This can include children.
- The responsible person of a company, whose identity document an employer uploads so that we can verify the company.
- Referees and former employers, whose answers we record during a verification.
- People named in free text — in a CV, a support message or an explanation box — by whoever wrote it.
If somebody entered your details and you did not agree to it, the whole of section 13 is available to you exactly as it is to our users. You do not need an account to use it, and you do not need the permission of whoever entered them. Write to us through the channels in section 17 and tell us what was entered and by whom, as far as you know.
Whoever enters another person's details into YourStaffGY is responsible for having a lawful reason to do so, and our Terms require it. That responsibility does not remove ours, and it is not a reason for us to refuse your request.
One case where we deliberately hold less: when an employer invites a candidate who is not in our directory, we store only a one-way fingerprint of the contact used, never the name, email or phone in readable form, because that person has not registered or agreed to anything yet.
8. Who can see what
Anyone on the internet
An approved candidate profile is public, but shortened: the directory shows a first name and the initial of the surname, the trade, city, country, nationality, languages, years of experience, age as a number, the profile text and the photograph. It does not show your phone, your email, your address, your date of birth or any of your documents.
We should be straight about the limits of that shortening: an employer name, a job title, an institution, a city and an age can be enough to work out who someone is in a small labour market, however the name is displayed. If that matters to you, leave out of your profile whatever you would not want tied to your name.
An employer
An employer sees the same public profile as everyone else until it purchases access to your contact details. From then on it sees your phone, contact email and address, and we record that it did. We notify you that a company accessed your contact details, without telling you which one. An employer never sees our internal assessment of you, the working notes of a verification, or the deliberations behind a dispute — it sees the outcome it paid for.
There is one point at which the employer becomes identifiable to you rather than the other way round: when an interview is scheduled, you are told who you are meeting. That is deliberate — nobody should be sent to an interview without knowing with whom.
Our staff
Administration and support staff can see the data they need to run the service, including your contact details, your documents, the outcome of a verification and the internal notes described below. Their actions are logged and attributed to them by name. Section 11 covers the case where they sign in as you.
What is internal, and what that does and does not mean
We hold internal material about identified people: staff notes, ratings an employer left about a candidate, the working notes of a verification request, the outcome of a background check and the record of how a dispute was resolved. None of it is shown in the product to the person it is about, and the notes are not shown to the other side either.
That it is not shown in the product does not mean it is beyond your reach. It is information about you, and you can ask us for it under section 13. Because it is not built into any screen, we answer that kind of request by hand, and we may redact the parts that are personal information about somebody else.
Others
During a verification we contact referees, former employers and institutions, and tell them only what is needed to ask the question. For a work permit, your application and its documents go to the competent Guyanese authority. We also disclose information where the law, a court or a regulator requires it, and where it is necessary to establish or defend a legal claim.
9. Providers and transfers outside Guyana
We use the following providers to run YourStaffGY. They process personal information on our instructions and for the purposes in section 5, and none of them is permitted to use it for its own purposes.
- Supabase — hosted database, authentication and document storage. Everything described in this policy is stored there.
- Cloudflare — hosting and delivery of the site, which involves request data such as your IP address and browser; and the automated inference service described in section 6, which receives the full text of CVs and profile free text.
- Resend — sending our emails: sign-in links, email verification and service notifications. It receives the recipient address and the content of the message.
- Google Fonts and a public asset network — these serve fonts and scripts used by our pages. Because your browser fetches them directly, they receive your IP address and browser details on page load, before you have logged in or agreed to anything. They do not receive your account data, your profile or your documents.
We also fetch currency exchange rates from a public service. Nothing personal is sent in that request.
All of these providers operate infrastructure outside Guyana, so your information is stored and processed outside the country. There is no way to use YourStaffGY without that transfer happening, and you should know it before you decide to use us.
If we add a provider that receives personal information, or change what an existing one receives, this section is updated before the change goes live.
11. Staff access to your account
What it is, when it happens, and what is recorded
Our support and administration staff can sign in to the platform as you, and see it as you see it.
This exists so that support can see the problem you are describing instead of guessing at it, and so that a member of staff can help you finish something that will not go through. It is not used for any other purpose.
The controls around it are these:
- It cannot be started without an open support ticket or an equivalent registered case, and without a written reason.
- Who entered, into whose account, why, when it started and when it ended are all recorded.
- Every action that changes something during the session is recorded as its own entry, so a business action is attributed to the member of staff and not to you.
- A visible banner is shown while it is happening, so that a member of staff cannot forget they are inside somebody else's account.
You can ask us whether your account was accessed this way, and we will tell you when, by whom and under which case. That is part of the right of access in section 13, and we will answer it whether or not you had already suspected it.
Two things our staff will not do while signed in as you: accept legal terms on your behalf, or sign the declaration of a work permit application. Those are yours to do.
12. How long we keep information
The periods, and what starts the clock
We delete documents automatically once their period has elapsed. A scheduled process runs once a day, works out what has expired, deletes the files and records what it deleted.
Until 7 September 2026 this section said the opposite, because until that day nothing was ever deleted. We are telling you that rather than presenting the periods below as if they had always been in force.
| What | Kept for | Counted from |
|---|---|---|
| Your CV and the identity documents, diplomas and certificates you uploaded | 24 months | the last time you used your account |
| Your photograph | 24 months | the last time you used your account |
| The full plain text we extract from your CV in order to read it | 90 days | the extraction. It exists only to read the document, so it does not outlive that |
| A company's registration, TIN and the responsible person's identity document | 24 months | the last change to the company's account |
| Verification reports and background checks about you | 24 months | delivery to the employer who commissioned them |
| Documents attached to a work permit application — passport, medical report, police certificate | 12 months | the expiry of the permit that was granted |
| Bank transfer proofs, invoices and payment records | not deleted automatically | they are accounting and tax evidence — see below |
Notice what starts the clock: for your own documents it is the last time you used your account, not the day you uploaded the file. A CV from three years ago is still your current CV if you are still here, and deleting it by the file's age would break the profile of somebody who is using the platform. If you stop using your account, the clock starts then.
A suspension is not abandonment. If our support team suspends your account, that governs what you can do, not how long we keep your files — the retention clock still runs from your own last activity.
Two cases where the rule is narrower than it looks
Work permit documents whose application never resulted in a granted permit — refused, withdrawn or abandoned — are not covered by the twelve-month rule, because that period counts from the permit's expiry and there is no permit to count from. Those files stay until a member of our staff decides on them, case by case. We are not going to pretend a timer handles them.
A verification report that was never delivered does not expire on this path either. The clock starts at delivery, so an undelivered report stays while the request is still alive.
What we keep even after a period elapses, or after you ask us to delete
Only for as long as the reason lasts: invoices, bank transfer proofs and payment records, for the period accounting and tax law requires — we have not set an automatic period for these on purpose, because that period is a legal question and not ours to guess; the audit record of what was changed in the system and by whom; the declaration you signed on a work permit application, which is frozen as evidence of what was stated at that moment and is not rewritten afterwards; and whatever is necessary to establish or defend a legal claim or to comply with an order.
And one thing these periods do not do: they do not delete your account. What expires above are documents and the plain text of a CV. Closing an account and erasing what is left of it is still a request handled by a person, and section 13 explains what we can and cannot remove. If you want your data gone before a period elapses, ask us — that route works now and does not depend on any of the clocks above.
13. Your rights, and their real limits
Under the Data Protection Act 2023
You have the following rights over the information we hold about you. They apply whether or not you have an account with us, including if somebody else entered your details (section 7). Each is stated with what we can actually do, because a right described without its limits is a promise we would have to take back later.
To know and to access
You can ask us for a copy of the personal information we hold about you and an explanation of what we do with it. This includes the internal material of section 8 — staff notes, ratings, verification working notes, the outcome of a background check — and the record of any session in which our staff signed in as you.
The limit: there is no button for this in the product, so we answer it by hand, and it takes us longer than a screen would. We may redact the parts of a document that are personal information about another person, and we may need to confirm your identity first — deliberately, so that nobody obtains your file by claiming to be you.
To correct
You can correct most of your own information from your account, and you can ask us to correct the rest, including something an automated extraction got wrong or an assessment you consider inaccurate.
The limit: a work permit application freezes certain declared details at the moment you submit it, on purpose, because they are the evidence of what was declared to the authority then. Those frozen fields are not rewritten. If one of them is wrong, we record your correction alongside it rather than altering the record.
To delete, and to leave
You can ask us to remove your profile from the directory, to delete documents you uploaded, and to close your account and delete the information attached to it. There is no self-service delete button in the product today, so this is a request to a person, and section 17 says where to send it. We will tell you what was removed and what was kept, and why.
The limits, honestly: our audit record keeps a copy of the values before and after each change made through an audited path, so deleting a record does not remove those copies — they are what lets us reconstruct what happened, including on your behalf. The frozen declarations of a work permit application are not deleted. Invoices and payment records are kept for as long as accounting and tax law requires. And we keep what is necessary to prevent fraud, to comply with an order, or to establish or defend a legal claim.
What we will not do is refuse a deletion request because it is inconvenient, or because deleting is manual on our side. If we cannot delete something, you get the reason.
To withdraw consent, and to object
Where we rely on your consent — publishing your profile, revealing your contact details to employers, running a verification about you, uploading a CV for automated processing — you can withdraw it at any time, and we stop. Withdrawing does not undo what was lawfully done while the consent was in force: if an employer already received your contact details, we cannot unsee that, though we can tell you it happened. Where we rely on a legitimate interest, such as contacting you about an unfinished account, you can object and we will stop that use.
To have a person look at an automated decision
For the two automated decisions in section 6 — publication and directory ordering — you can ask for a person to review the result, ask us to explain how it came out that way, and ask us to correct or republish your profile.
To take your information with you
You can ask for the information you gave us in a form you can reuse elsewhere. Like the right of access, this is a manual process today.
To complain
You can complain to us, and you can complain to the data protection authority in Guyana regardless of whether you complained to us first. Exercising any of these rights is free, and we will not treat your account worse for it.
How to exercise any of them: write to us through the support channels in section 17, say which right you are exercising and what information it concerns. We will confirm that we received it and tell you what we did.
14. People under 18
Our candidate registration accepts people from 16 years of age, because 16 is the minimum working age the service assumes. So a candidate profile may belong to a person who is 16 or 17.
A work permit application can also list accompanying family members who are children, entered by the applicant, including their date of birth and passport number.
We do not currently have a parental or guardian consent step for either case, and we are not going to describe one that does not exist. We are working out what that step should be. In the meantime, a parent or guardian can exercise every right in section 13 on behalf of a person under 18, including asking us to remove a profile, and we will act on it.
We do not knowingly register anyone under 16 as a candidate. If you believe we hold information about a child in a way that should not be, tell us through section 17 and we will look at it as a priority.
15. Security
The measures that matter most here are structural rather than declarative:
- Access is enforced row by row in the database itself, not only in the pages. A page cannot show what the database will not release for that user.
- Your contact details and date of birth live in a separate table from your public profile, released only to an employer that purchased access, to you, or to our staff.
- Every document store is private. There is no public link to a CV, an identity document, a payment receipt, a permit document or even a profile photograph: each is served through a short-lived authorised link, so that a photograph blocked by moderation actually stops being visible.
- Passwords are stored only in hashed form; nobody at YourStaffGY can read yours. Traffic to the site is encrypted.
- Changes made through audited paths and every session in which staff accessed an account are recorded, and those records cannot be edited or deleted by anyone, including an administrator.
- Invited candidates who have not registered are stored as a one-way fingerprint of the contact used, not as a readable name, email or phone.
No system is beyond compromise, and we are not going to claim otherwise. If a security incident affects your personal information, we will tell you and the authority what happened, what information was involved and what we are doing about it.
Your part in this: keep your password to yourself, and do not upload documents that a form did not ask you for.
16. Changes to this policy
We update this page when what we do with personal information changes — a new provider, a new purpose, a new category of data, a retention period we can finally state. The date at the top tells you when it was last checked against our systems.
If a change means we would use your information for something materially new, or send it to someone new, we will tell you before it takes effect and, where the basis is your consent, ask you again. We will not extend an existing consent to a new purpose by editing this page quietly.
Corrections of wording that do not change what we do are made without notice.
17. Contact and complaints
Questions about this policy, and any request under section 13, go to Talent Force Solutions through the official YourStaffGY support channels identified on the platform. The support bubble is on every page, and the support page lets you open a ticket that leaves a record.
For a request about your rights, a ticket is better than a chat message: it is what gives you a written record of what you asked and when.
If your details were entered by somebody else and you have no account (section 7), use the same channels. You do not need to register to write to us about your own information.
You can also complain to the data protection authority in Guyana. You do not have to come to us first.
Do not rely on statements about privacy, your data or your rights made by anyone who is not an authorised YourStaffGY representative.
